State the approval required before travel; class of travel and accommodation caps; the subsistence basis — actual with receipts or a daily allowance within the SARS-published limits; the mileage rate used; the claim form, deadline and supporting documents; and the consequence of a late or unsubstantiated claim.
Tie the subsistence and mileage rates to the SARS-published figures by reference rather than by number, or the policy is out of date every March and the difference becomes a fringe benefit somebody has to account for.
